Meeting Setup

  • Name - The name of the Meeting. This is what attendees will see on their portal.
  • Begin Date - The date the meeting begins.
  • End Date - The date the meeting ends. Must be after the Begin Date.
  • Full Day - This field determines how the meeting will look on the calendar on the portal.
  • Organizer - The RAMCO user planning the meeting.
  • Order Source - This field is for specifying the Default Meeting Order source to allow Form and Submitting functionality.
  • Publish to Portal - A radio button that distinguishes if users can register for this meeting through the portal.

Location

  • Location -  The location of the meeting.
  • Address - Place to provide street, city, state, zip and country for Meeting.

Committee

  • Committee -  If this Meeting is affiliated with a Committee, this is the field to specify it.

Registration Settings - These fields determine the options a member has when registering for the meeting on their portal.

  • Begin Date - The day registration begins.
  • End Date - The day registration ends; members will no longer be able to register after this date.
  • Eligible for One Click Registration - If the Product on the Meeting Registration Fee is a $0.00 Product, portal members can register for this event with only one click.
  • Allow Group Registration - If Yes, one user can register multiple people. If No, each person must register individually. 
  • Invitation Only - Set this to Yes if you would like to use a query to specify who is available to register for this Meeting.
  • Allow Proxy Registrations - Set this to Yes if an end user can register others without creating their own Registration. If a person cannot register others, without first having a Registration, then set this to No.

Maximum Capacity

  • Max Registrations - The maximum number of people allowed to register for the Meeting.
  • Max Companions - The maximum number of registrations with Type Companion specified allowed to register for the Meeting. This is used to prevent more companions that desired registrations.

Edit/Cancel Registration

  • Edit Deadline - Deadline date for a portal member to be a able to edit their existing registration
  • Cancellation Refund Deadline - Deadline for canceling a registration to result in a credit card refund being automatically processed via the portal.
  • Default Cancellation Fee - A fee that is applied to the Contact when the Meeting Registration is canceled. 
  • Non-Refundable Cancellation Fee - If a portion of the registration is not refundable, this field is to specify the portion of the registration that cannot be refunded.

Outside Provider

  • Outside Provider - Select yes if another provider is offering or running the meeting.
  • Link - This field is where the staff user can specify a website to the outside provider or a website to something that may be pertinent to the meeting. Clicking on the More Information button on the portal will open the website specified in this field.
  • Message - In the alert box on the portal, a message will appear saying Offered by Another Provider. After that sentence, a staff member can provide more details in the alert box, if desired.

Description

  • Description - This field is for describing the meeting.

Waitlist & Settings

  • Allow Waitlist - A radio button that distinguishes if a Meeting will maintain a waitlist.
  • Auto Promotion Cutoff - Last Date that canceling registrations will automatically promote the next waitlisted registration to submitted.
  • Waitlisted Can Register For Activities - Toggle to allow/disallow waitlisted registrations from signing up for Meeting Activities
  • Waitlisted Activity Payment Required - If a registration is waitlisted and signs up for a Meeting Activity, this toggle specifies whether or not payment is needed for the Meeting Activity

 

  • Tags - Tags for filtering Meetings via the Portal
  • Description - This field is for describing the meeting.
