Add New Member Type

Refer to the training manual for definitions of Member Types.

Important note: 

Your RAMCO system comes pre-loaded with the major M1 member types. You should only create new Member Types if you have other major classes of members that do NOT go to M1, such as MLS-only members.

Setting up a Member Type

  1. Click on Membership in the navigation panel at the top of the screen.
  2. Click on Member Types in the Membership Setup menu. 



  3. On the Ribbon Toolbar, select New.
  4. Enter a Name, Type, and choose whether to Display on Portal or Require License. If displayed on the portal, contacts can apply as this type of member using the portal.



  5. Enter additional information. (If you have created an Application Form, you can add it here.)



  6. Click Save.

Establish the Dues and Fees

Important note: If you do not have a Dues Option ready to add, you should finish creating your Dues Cycle and Dues Schedule before completing this setup.

  1. Click on Membership in the navigation panel at the top of the screen.
  2. Click on Member Types in the Membership Setup menu. 
  3. Click on the Name of your Member Type.
  4. Click Application Fees under the Setup menu in the navigation panel at the top of the screen.



  5. Click Add New Membership Application Fee in the ribbon toolbar.
  6. Enter NameMember TypeDisplay NameDisplay on PortalAssociation, and State Association (these are required fields, you may fill in other fields if you need to).
  7. Enter Duration Type. Once you choose your duration type, you will then need to enter either the Date and Number of Years (Dated Type) or Term and Term Units (Termed Type).
  8. Select a Dues Option. This will determine the amount of prorated dues someone will pay when joining as this type of member.
    Important note: You may want to create an additional Dues Option for secondary members joining the association. Your primary member dues option would include local, state, and national dues, but the secondary dues option likely would have different prorated dues and fees. 

  9. Select a product with the lookup.
    Important note: If you do not have a product for this application fee, use the Lookup icon, then use New at the bottom of the window to create one. Every fee in RAMCO must be tied to a Product. Don't forget to add a Price List Item to your Product.





  10. Click Save.

Add Membership Requirements

There are 6 modes of Membership Requirements:

  • Staff Review: This requires a staff member to manually review the membership application and approve it before it can be accepted and rendered Active. 
  • Manual: Manual requirements must be manually marked as completed by a staff user. These are good for items like identity verification where the potential member is going to be required to come to your office to show valid ID before approval.
  • Query: Queried requirements allow you to query the system for other conditions to be met. For example, you could check to make sure that they've completed a specific course before approving their application.
  • Order Paid: This requirement will be completed when the order tied to the membership application is fulfilled/paid.
  • Command Text: This is an advanced requirement that allows you to enter T-SQL statements to define the condition(s) that must be met when the standard query requirement is not sufficient. These requirements should either be setup by Cobalt or a technical staff person with advanced knowledge of T-SQL statements.
  • Audit: This requirement mode specifies a staff member will need to manually verify the information for the requirement to be fulfilled.

Steps:

  1. Click on Membership in the navigation panel at the top of the screen.
  2. Click on Member Types in the Membership Setup menu. 
  3. Click on the Name of your Member Type.
  4. Click Requirements under the Setup menu in navigation panel at the top of the screen.



  5. Click Add New Membership Requirement in the ribbon toolbar.
  6. Add a Name for your requirement and select the associated Mode and Member Type (required fields, you may fill in the Description field if you would like). 



  7. Click Save.
    Important note: When someone applies for membership, these requirements must be met before the membership goes from "Provisional" (M1) / "Pending" (RAMCO) to "Active".
