Using Process Templates to Create Workflows

A workflow can exist in two states:

  • A Process - a workflow that takes action using the data in your system
  • A Process Template - a workflow that is used as a template for workflows made int he future and which doesn't take any action.

Process templates are valuable if you regularly create new workflows and want to save on time. Many associations use different iterations of the same workflow for different unique situations so using Process Templates can help cut down a staff members workload extensively. Here we'll discuss some of the tips around using Templates.

A workflow is always created as a Process but you can save it as a Process Template for later use. You simply need to set the Activate As setting to Process Template. This will define the Workflow as a Template instead of a Process:

The final step involved in using Process Templates is during the creation of a new workflow. If the workflow entity is set tot he same as the Process Template and the Type is set to "New process from an existing template", the Activated Template will appear in the window for you to select.

When to the workflow is created, it will be identical to the template (with the exception of the workflow name). From there, you can edit the workflow to match any specific requirements and then save and activate.
